The Vacation Care program runs at the YWCA Hunter throughout the school holidays. It is an innovative, FUN packed program that ensures the children of working parents have a thrilling and enriching school holiday experience. Funded and accredited under the NSW Dept of Education Vacation Care Support funding, the program caters for parents working in the inner city and local children alike.

Through excursions, incursions and in-house theme days the children create, use their imaginations and physically challenge themselves while learning new skills and having fun. All vacation care activities are delivered through many fun, community aware and interesting themes set under the ‘My Time Our Place’ government guidelines. Children must be enrolled at school to be able to attend.

YWCA Hunter is also an accredited childcare provider so parents can claim the Child Care Subsidy towards their vacation care fees.

    The Australian Government introduced a new child care package in 2018. The existing Child Care Benefit and Child Care Rebate was replaced with the new “Child Care Subsidy”. Ensure you have been assessed for the Child Care Subsidy before enrolling:

    Please note changes to your booking can only be made by selecting an alternative day of care, if vacancies are available (within the current vacation care period). Changes to bookings must be received by our office by 2pm on the day before the vacation care booking. Booking cancellations are not accepted. All non-attendance will be deemed as ‘absent’ and fees will apply.     We’re always in need of cardboard tubes (no toilet rolls), bottle top lids, plastic lids from wet wipes/baby wipes packets, plastic chinese containers – please save them & bring them in for us to upcycle!

We are not holding vacation care in the September/October school holidays. We plan to reopen for the January school holidays.

Frequently Asked Questions

Vacation Care is suitable for children who attend primary school. Children who are enrolled to start Kindergarten in February 2021 are welcome to attend vacation care in the January 2021 holidays. Whether you are a new family or have attended here before, we would love to welcome you to the YWCA Hunter!

There is a new Xplor app available. You can use this app to sign your CWA & to check your bookings. Please don’t use it to book in your dates, use our Booking form, complete and return to

To adhere to the current Covid-19 regulations, we have had to implement some changes. Please note the following:

Adults are not to enter the building.

Please drop off and sign in your child on the front verandah. If no one is there when you arrive, please ring the doorbell. Children will then enter using the side gate (via preschool grounds). Always maintain 1.5 metres between other families.

The ipad screen will be cleaned between each use (if using our ipad to sign in).

Staff will clean and disinfect equipment and surfaces regularly throughout the day.

Childrens hands will be sanitised on arrival and throughout the day.

Childrens temperature will be taken on arrival, and if necessary throughout the day. If the temperature is above 38°C, parents/caregiver will be contacted immediately and will need to collect their child within 30 minutes. If you are unable to be reached, an emergency contact person will be contacted and asked to collect your child.

Please pack your childs pencil case – coloured pencils, eraser etc. to ensure children aren’t sharing items during free time in the mornings.

Entry is only allowed if the following conditions have been met:

  • You have not returned from overseas travel in the past 14 days,
  • You have not been in a recognised “hot spot” as designated by the Dept. of Health
  • You have not had contact with someone who has a positive Covid-19 diagnosis
  • You have not had contact with someone who has undertaken a Covid-19 test but is still awaiting results
  • You agree to advise if you, or anyone in your family, develops any symptoms of Covid-19 or receives a positive result of the virus.


Cost starts at $60 per child per day (before the Child Care Subsidy is applied to your account). Some families out of pocket expenses are as little as $12 per day. Price varies, depending on what activities are on offer each day. For prices refer to our Booking form.

An annual family administration fee of $15 is charged at the first vacation care attendance each calendar year.

CCS reduces your out of pocket vacation care costs, it is deducted from your account. Ensure you have already been assessed for the CCS before enrolling. Simply log into your MyGov account to complete your assessment, or contact Centrelink ph 136 150.

Once you’ve signed your CWA, allow 12-24 hours for your enrolment to reach your MyGov account.

Please note “enrolment period” could start from May 2021 & doesn’t necessarily need to match the dates your child physically attends vacation care.

Please note your MyGov enrolment shows the cost for your first day that you’ve booked in for. For example your first attendance day may be a $75 excursion day, $75 will appear on your MyGov enrolment. Please be assured, we only ever charge you the correct prices for individual dates attended (prices per our Booking form).

Log into your parent Xplor account here and click on Childs name (big grey circle) / CCS Agreements / I Agree (blue button at bottom). Repeat for each child. Once you click I Agree, this will generate your enrolment in your MyGov account. With the introduction of the CCS, all enrolments automatically cease after 14 weeks so this needs to be completed if you haven’t attended vacation care here at the YWCA Hunter during the last 14 weeks.

Your child can wear comfortable, casual clothing. Dress ready for active play! Please wear sensible enclosed shoes such as joggers, avoid thongs. Pack a broad brimmed hat. If your child is attending on an excursion day, please get them to wear a red t-shirt for easy identification. On an in-house day, children are encouraged to dress according to the day’s theme (eg Superhero day, wear your favourite superhero cape!).

Please bring a refillable water bottle, broad brimmed hat, morning tea, lunch and afternoon tea. Each day is different, depending on what activities are organised, refer to our Booking form for daily requirements. Lunchbox tip-we recommend packing more food than you would for a typical school day. Kids are constantly moving due to the nature of our activities at vacation care, we find most children need more food in their lunchbox than they’d usually take to school.

If it’s your very first time attending vacation care with us, allow an extra 5 minutes at drop off. On arrival, advise staff it’s your first day. We will set you up on the ipad (for digital sign in/out). We will show your child around the centre, help settle in your child and answer any questions you may have. Please note adults are not currently allowed to enter the building.

To help your child to settle in well and get a good understanding of how we operate, we recommend booking in your first day on an in-house or incursion day so that your child gets a feel for our centre before heading off site on an excursion. We understand this isn’t always possible.

We are open from 7.30am till 6.00pm.

Please arrive by 9.30am each day, unless an early departure time is specified on our Booking form.

Yes, if they are already listed as an authorised emergency contact in your Xplor profile and we have their contact details listed. If they’re a new contact, please send an email to with their full name, phone number & advise you authorise them to collect your child from vacation care. If you’re not sure who you have listed for your emergency contacts, just give us a call on 02 4929 2954 or email and we will advise.

Have lots of fun! Activities such as craft, art, cooking, games and excursions. Each day is different, an in-house day usually look like this…

  • 7.30am        Free time period. Games, craft, active and electronic games and board games are available for the children’s enjoyment during free time.
  • 9.30am        Morning program (theme for the day)
  • 11.00am      Morning tea
  • 11.30am      Program continues
  • 1.00pm        Lunch
  • 1.30pm        Free time period

  • 2.00pm        Afternoon program

  • 4.15pm         Afternoon DVD movie (Only G Rated movies are watched in the Centre)

Please arrive by 9.30am each day, unless you are booked in for an excursion with an early departure, then arrive 40 mins prior to excursion departure time. Excursion times are listed on our Booking form.

Invoices are emailed after attendance, payable within 7 days. Please add to your safe list to ensure invoices don’t get lost in your spam folder.

All invoices not paid by the due date will automatically incur a $20 administration charge.
